TITLE:  Awards Coordinator  TEAM/PROGRAMME:  Awards Management LOCATION: Port-Sudan with frequent travel to field GRADE: NAT 3 

CONTRACT LENGTH:

12 Months

CHILD SAFEGUARDING: 

Level 3:  the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

 

ROLE PURPOSE: 

This role will support the Head of Award in the planning, managing of both development and humanitarian awards. This role will work collaboratively with Save the Children members and all departments of the Country Office program to ensure smooth management of development and humanitarian program awards, sub awards and contracts, focusing on donor compliance and accountability. This position will also be responsible to build the capacity of staff.

 

 

SCOPE OF ROLE: 

 

Reports to: Head of Awards /Awards Manager 

 

KEY AREAS OF ACCOUNTABILITY : 

Award Management

  • Act as AMS champion for the CO after receiving proper orientation from the Head of Awards.
  • Coordinate with the Awards managers and Head of awards and other internal stakeholders  to ensure that  Right First Time indicators are maintained at acceptable levels
  • Facilitate effective and prompt communication by relevant staff with members on their awards.
  • Support AMS updates and KPIs tracking. 
  • Support the Award Manager to identify potential issues and amendment requests and ensure they are flagged promptly to donors via the relevant Save the Children member. 
  • Act as focal person for short period HUM awards assigned by the Head of Awards. 

 

Award Management System (AMS)

  • Support the Awards  teams in admin  and paper work pertaining to  all opportunities, proposals, contracts and amendments .
  • Support on ensuring all partners and sub-award agreements documentation is professionally maintained.

Additional

  • Deliver high quality results in line with the agreed ToR and develop effective relationships with country programme staff.
  • Comply with all relevant SC policies and procedures with respect to child protection, health and safety, equal opportunities and other relevant policies and procedures.

QUALIFICATIONS 

 

  • Bachelor’s Degree in a related field 

EXPERIENCE AND SKILLS

Essential:

  • 1-2 Year of experience in relevant field
  • Good attention to detail and analytical skills
  • Computer literate (i.e. WORD, advanced Excel, Outlook, Internet Explorer, financial systems)
  • Cultural awareness and ability to build relationships quickly with a wide variety of people
  • Patient, adaptable, flexible, able to improvise and remain responsive and communicate clearly and effectively under pressure
  • Good communication (written and spoken) in the local language and minimum intermediate level in English

Desirable 

  • Basic Knowledge of donor requirements and experience of NGO award management systems and processes
  • Basic Knowledge of the requirements and experience managing awards from major donors including budgeting, eligibility issues, compliance management, and reporting
  • Fluent in English
